Donor Outreach Associate

TIME COMMITMENT: Full-time, exempt position. On occasion, the position may require evening and weekend work.

LOCATION: This position is based in the greater DC metro area. Some remote work is possible but consistent weekly visits to the headquarter offices in Silver Spring, MD are required.

Summary of Position

The Donor Outreach Associate is responsible for maintaining and building financial support through the annual giving program and by engaging the PEER community through mailings, email, and the website. The Donor Outreach Associate is responsible for maintaining the PEER donor database using Salsa CRM and ensuring the timely and accurate recording and acknowledgement of donations. This position reports directly to the Director of Development, works closely with the Executive Director and other staff, and requires considerable interaction with donors.

Duties and Responsibilities

Donor Communications

    • Respond to general inquiries and comments made via phone or to the info e-mail inbox.
    • Manage all donor communications including thank you letters, donor comments, and requests for more information.
    • E-mail, write, or call donors and prospects to get updated contact information when e-mail bounces, mail pieces are returned, or phone numbers disconnected.
    • Manage production of the holiday card. Work with printing vendor to layout, print, and send cards.

Maintain Donor Database and Process Donations

    • Serve as the in-house expert for all CRM related tasks and projects. Duties include:
      • Process check, online, and credit card donations; enter in CRM database.
      • Run reports for finding duplicate records, and merge records when needed.
      • Update and clean up donor records as needed.
      • Run through all methods of contact to try to reinstate lapsed recurring donations.
      • Process email unsubscribes.
    • Maintaining the highest standards for data quality and confidentiality.
    • Create campaign and donation web pages through Salsa Engage.
    • Understand and run reports on website and direct mail analytics including:
      • Compile monthly and quarterly membership reports to track website statistics, members and prospects, donations, and e-blast mailings participation.

Coordinate Direct Mail

    • Manage the process for collecting content for the mailings including special appeals, renewals, and other direct mail.
    • Conduct final editing for mailings.
    • Work with Layout Designer to get quality pictures and make sure letters are formatted correctly.
    • Manage and create direct mail schedules and work with vendors to get final product out on schedule.
    • Edit, layout, and submit e-newsletter, PEERmail for distribution (twice a month)
    • Track open rates, click through rates, and donations made from each PEERmail email.

Workplace Donation Management

    • Work with Director of Development to fill out applications for participation in Combined Federal Campaign and state employee workplace campaigns.
    • Send CFC specific “thank you” letters to donors and annually send reminder letters to past donors.
    • Fill out state specific employee campaign applications annually from December to June.

Serve as the Point of Contact for PEER Website

    • Work with Director of Development, Executive Director, and program staff to maintain updated and refreshed content on the website using Wordpress.
    • Work with the web firm contractor to address updates and website issues.
    • Work closely with web firm contractor to launch digital petitions or special projects.

Other Occasional Responsibilities

    • Assist in mailing out press releases when Special Projects Manager is unavailable.
    • Provide occasional event support as needed.
    • Support the Director of Development as requested.

Qualifications

    • Self-starter who is eager to learn about non-profit development operations.
    • Bachelor’s degree with at least 1-5 years of relevant experience. A combination of related education, training, and experience will be considered on a case-to-case basis.
    • Experience working with a non-profit organization a plus but not required.
    • Experience working independently and with remote teams.
    • Proven ability to work with and collaborate with others. Is excited to work with collaboration tools to maximize efficiency.
    • Attentive and preemptively responsive to the needs of others.
    • Excellent communication and writing skills.

Compensation

This is a full-time exempt position with full benefits and a salary range of $45,000-55,000.
